Billing Policy

This Billing Policy describes trial terms, billing timing, product switching, AI add-ons, and refunds for
Billable Hub.
1. Trial Period
- New subscriptions include a 90-day trial period.
- You will not be charged the subscription fee during the trial period.
- Billable Hub may limit, modify, deny, or terminate trial eligibility where it reasonably believes a person or organization has created multiple accounts or otherwise attempted to circumvent trial limitations.
2. Switching Products During Trial
- During the 90-day trial, you may switch between products/plans.
- Your trial end date does not reset when you switch products/plans unless we explicitly state
otherwise at checkout.
3. Start of Paid Billing; Failed Payments
- Paid billing starts when the 90-day trial ends unless you cancel before that date.
- If you choose monthly billing, the subscription charge is billed monthly and renews monthly until
canceled.
- If you choose yearly billing, the subscription charge is billed yearly and renews yearly until
canceled.
- By starting a trial, you authorize us and our payment processor to charge the subscription fee for
your selected plan, billing cycle, seats, add-ons, and applicable taxes on the first day after trial
expiration, unless you cancel before that date.
- Unless canceled before the end of the then-current billing period, your Subscription automatically renews for successive monthly or yearly terms (as applicable), and you authorize Billable Hub and its payment processor to charge the applicable subscription fees, taxes, seats, add-ons, and other recurring charges using your designated payment method.
- If a payment cannot be successfully processed, Billable Hub may retry the payment using the payment method on file, suspend or limit access to paid features, downgrade your Subscription, or terminate your Subscription if payment remains outstanding. You remain responsible for all amounts owed until your Subscription is canceled in accordance with this Policy.
4. Refunds
- We provide a full refund for yearly charges requested within 30 days of the initial yearly charge
date (which is when the trial ends).
- Monthly charges are not covered by the yearly 30-day refund window and are not refundable once
billed unless required by law or stated otherwise at checkout.
- Refund requests made after any applicable refund window are not eligible unless required by law.
- Except as expressly provided in this Policy or required by law, no partial refunds or credits will be provided for unused time, partial billing periods, unused seats, or unused AI request capacity.
5. Cancellation
- You may cancel any time from your billing settings/customer portal.
- If you cancel during the trial, you will not be charged the subscription fee.
- If you cancel after a paid period starts, access continues through the end of the current monthly
or yearly paid term unless otherwise required by law.
6. Plan, Add-On, and Seat Changes During a Billing Cycle
- If you upgrade to a higher-priced service or add an add-on during a billing cycle, access begins
immediately and charges for the remainder of the current billing cycle are prorated at the new
rate.
- If you downgrade to a lower-priced service or remove an add-on during a billing cycle, no refund
is provided for the remainder of the current billing cycle. The downgrade or add-on removal takes
effect at the start of the next billing cycle.
- If you add an additional user seat during a billing cycle, that user becomes available immediately
and the seat charge is prorated for the remainder of the current billing cycle.
- If you remove a user seat during a billing cycle, that seat remains available through the end of
the current billing cycle. If you add another user before the cycle ends, that open seat is used.
If not used, the seat is removed at the end of the billing cycle.
7. AI Add-Ons and Usage Limits
- AI-assisted features may be included in a plan, sold as an add-on, or limited by request counts,
organization users, billing status, provider availability, model availability, or product
configuration.
- AI request limits are measured at the organization level unless checkout, billing settings, or the
product states otherwise.
- Unused AI request capacity does not roll over to future billing periods unless expressly stated.
- AI-assisted features may be unavailable or limited if the configured AI model provider, Vercel AI
Gateway, payment status, entitlement sync, or usage limit prevents access.
8. Taxes
- Unless otherwise stated, all fees are exclusive of applicable taxes. You are responsible for all applicable sales, use, value-added, goods and services, withholding, or similar taxes, other than taxes imposed on Billable Hub’s net income.
